Specialist - Contract Management

I. BASIC PURPOSE / JOB BRIEF:
The Specialist, Contract Management is responsible for the maintenance of all contracts within Supply Chain Division and ensure Contract Compliance Management.
II. MAJOR RESPONSIBILITIES AND DUTIES:
- Responsible for the accuracy and timely completion of contract drafting process by Reviewing the proposals, interpret and draft contract agreements to correctly reflect the essence of the scope of work and negotiations. Incorporating best practice guidelines, performance indicators and monitoring and reporting compliance.
- Produce error free work material by ensuring data and documents are consistent, accurate, formatted properly and compliant to verbiage requirements prior to legal printing and stamping.
- Ensures that final draft contract is agreed with the vendor, routed to and approved by all internal stakeholders i.e. Procurement, VP SCD, Tax, Legal, Risk Management, Division Head or Business Unit Representative and Office of the President.
- Maintains an updated contract tracker to ensure contracts are within Contract Management radar and provide effective communications to all stakeholders about the status of all active contracts. Ensure that filing of documents are done in accordance with the company policies and procedure.
- Supports Supplier Performance and Contract Evaluation Process by preparing contact compliancereport and track supplier performance and approval to prove contract renewal or termination.
- Support successful management and administration of significant contracts by developing effective relationships with key suppliers, BUs and supporting the supplier/buyer interface.
- Monitors and track Savings Declaration (Forecasted Savings) made by Procurement.
- Performs necessary analytics and support in development and implementation of continuous improvement initiatives by the team
- Perform other duties assigned to in relation to Contract Management.
III. JOB SPECIFICATIONS:
Educational Requirement:
- Graduate of any 4-5 year course
Experience Requirement:
- Preferred at least 1 year experience - experience in contract management and business law
- Proficiency in Microsoft Office.
