Assistant - Accounts Payable

Business Unit:  Shared Services
Division:  Accounting

I. BASIC PURPOSE / JOB BRIEF:

This position supports the Accounts Payable Team in carrying out its daily operations, particularly in invoice and expense processing, payment handling, report preparation, and account reconciliation.

 

II. MAJOR RESPONSIBILITIES AND DUTIES:

  • Performs month-end accounting close and ensures that all close activities are completed accurately and on time.

  • Maintains a log of payment requests.

  • Reviews the completeness of supporting documents for payments and verifies invoice details in compliance with standard operating procedures and company policies.

  • Processes vendor invoices, payment requests, and reimbursements promptly, adhering to agreed payment terms and processing timelines.

  • Records invoice journals in accordance with standard operating procedures, generally accepted accounting principles, and company policies, ensuring the accuracy of applied tax rates in consultation with the Tax Management Team.

  • Prepares monthly reconciliations of balance sheet accounts assigned to the Accounts Payable Team and resolves reconciling items in a timely manner.

  • Assists with compliance reviews as well as internal and external audits.

  • Performs other job-related duties as assigned by management.

III. JOB SPECIFICATIONS:

Educational Requirement

  • Bachelor’s Degree in Accountancy or any Finance/Business-related course

  • Preferably a Certified Public Accountant (CPA)

Experience Requirement

  • 1 to 3 years of relevant work experience in invoice processing, payment processing, and cash management

  • Knowledge of Generally Accepted Accounting Principles (GAAP) 

Technical Skills

  • Strong analytical skills

  • Proficiency in Microsoft Office applications and ERP systems

  • Solid understanding of accounting and tax principles

Other Qualifications

  • Excellent communication skills across all levels of employees and management

  • High attention to detail, accuracy, and quality
