Assistant - Fixed Assets

Business Unit:  Shared Services
Division:  Accounting

I. BASIC PURPOSE / JOB BRIEF:

Responsible for maintaining inventory file by adding new assets, changing locations as necessary, and retiring assets.

II. MAJOR RESPONSIBILITIES AND DUTIES:

  • Checks and verifies accounting/bookkeeping transactions to ensure accuracy by reviewing Accounting Cost via Invoice or other documents that needs posting, researching any missing information, and matching invoices with In-Use Inventory Equipment Receiving Reports.
  • Utilizes knowledge of computer software and equipment to meet the goals of the department
  • Updates and creates spreadsheets in the system. Performs repetitive data entry transactions such as:
    • Establishing and inputting of new Asset as well as its corresponding code in the Fixed Asset software and generation of Barcode Label for each item
    • Processing and recording of reports of items that are reported lost, stolen, destroyed or being transferred.
    • Reviewing and analyzing physical inventories as completed by departments to ensure Accuracy and completeness
    • Conducting physical count/spot check to other departments or any location based on schedule or assignment
    • Performing Inventory/Asset Tagging based on assigned location and schedules
  • Performs administrative tasks such as but not limited to maintaining filing system, responding to mails, and screens requests from departments
  • Performs other job related duties assigned by superior

III. JOB SPECIFICATIONS:

Educational Requirement:   

        •    Bachelor’s Degree in Accountancy
        •    Post-graduate units or degree is an advantage

 

Experience Requirements:    

        •    At least 1 year experience in Fixed Assets/Warehouse Management or Inventory Control in a Hotel/Casino/Resort industry
        •    Knowledge in Asset Management software such as ERP, Redrock, SAP, and similar softwares


Skills and Attributes:

  • Proficient in Microsoft Office Applications
  • Communication and Problem Solving skills
  • Fluent in oral and written English and Filipino
  • Knowledge of other language is an advantage
  • Maintain control under stress, work with frequent interruptions and deadlines
