Associate - Leasing

I. BASIC PURPOSE / JOB BRIEF:

The Leasing Associate is responsible for supporting the leasing operations of the Okada property, from handling prospective tenant inquiries and preparing leasing documents to coordinating with existing tenants and internal departments. The position ensures that leasing activities, documentation, tenant communications, and administrative requirements are handled accurately, efficiently, and professionally.

II. MAJOR RESPONSIBILITIES AND DUTIES:

rates, lease terms, requirements, and property policies.
•    Coordinate and assist with space/unit viewings for prospective tenants.
•    Prepare Lease Offers, Lease Agreements, Memoranda of Agreement (MOA), amendments, renewals, and other leasing-related documents based on approved terms.
•    Coordinate with prospective tenants regarding documentary requirements and ensure timely submission of complete documents.
•    Monitor the status of lease documents from preparation, review, approval, signing, and completion.
•    Coordinate with the Legal Department and other concerned departments regarding the review and finalization of contracts and agreements.
•    Monitor lease expirations, renewals, extensions, amendments, and other important contractual dates.
•    Maintain an updated database of available spaces, tenant information, lease terms, contract status, and other leasing records.
•    Prepare, process, and monitor work permits, Authority to Work (ATW), and other permits or clearances required for leasing, tenant activities, and other leasing related works.
•    Maintain professional and positive relationships with existing and prospective tenants.
•    Maintain organized and accurate physical and electronic files of lease agreements, MOAs, tenant documents, correspondence, and other records.
•    Prepare leasing reports, presentations, letters, notices, endorsements, and other administrative documents.
•    Handle day-to-day email correspondence with tenants, prospective tenants, and internal departments.
•    Assist in preparing payment reminders, collection letters, and other account-related correspondence when necessary.
•    Provide timely updates to management regarding leasing activities, pending transactions, and tenant concerns.
•    Perform other tasks and responsibilities related to the position as may be assigned by the immediate superior

III. JOB SPECIFICATIONS:

Educational Requirement:

  • Bachelor’s degree in Business/Office Administration, Real Estate Management, Property Management, Marketing, or a related field.

 

Experience Requirement:

  • Fresh graduates are welcome; prior work experience is not required.
  • Relevant internship or OJT experience in leasing, real estate, property management, administration, sales, or customer service is an advantage.

 

Skills and Attributes:

 

  • Leadership Skills:
    • Good interpersonal and customer service skills.
    • Able to work independently and as part of a team

 

  • Technical Skills:
    • Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
    • Good written and verbal communication skills.
    • Good interpersonal and customer service skills.

 

Other Qualifications:

  • Ability and willingness to learn leasing procedures, contract administration, and property management processes.
  • Strong attention to detail, particularly when handling contracts, tenant information, and financial data.
