Executive Assistant - Casino Marketing

Business Unit:  Casino Marketing
Division:  Premium Marketing & Strategic Planning

I. BASIC PURPOSE / JOB BRIEF:

The Executive Assistant - Casino Marketing is responsible in maintaining calendars, meeting agendas, preparing materials used in executive presentations, and travel arrangement of the the Executive Vice President - Casino Marketing. He/she is also responsible for screening and prioritizing mail and phone calls, researching and writing memos. He/she may also organize and maintain files and office libraries of books, papers and digital media.

II. MAJOR RESPONSIBILITIES AND DUTIES:

  • Prepares documents which include but not limited to required reports, official correspondences, memos, minutes of the meeting and presentations in a timely and accurate manner
  • Conducts background research as necessary for tasks assigned and presents findings
  • Arranges travel bookings, visa requirements and accommodation of the Executive Vice President - Casino Marketing
  • Organizes and manages executive diaries, sets appointments, attends meetings and ensures the Executives is well prepared for meetings
  • Handles incoming emails, messages sent thru fax (if applicable)
  • Screens phone calls, inquiries and requests and handles them appropriately
  • Meets and greets visitors at all levels of seniority in a professional manner    
  • Implements an effective and orderly office system including data management and filing 
  • Liaises and coordinates with internal departments, suppliers and other staff as necessary 
  • Monitor requested office supplies and equipment and ensure that these are within the approved budget   
  • Maintains a clean and organized work environment
  • Complies with Company policies and procedures on occupational health and safety, grooming standards, customer service, confidentiality, among others
  • Performs others tasks as directed by the immediate superior

III. JOB SPECIFICATIONS:

Educational Requirement :

  • Bachelor’s Degree in Office Administration or related discipline

 

Experience Requirements :

  • Relevant experience providing administrative support to Mid to Senior Management in a multi-cultural environment is preferred

 

Technical Skills :

  • Sound understanding of office administrative procedures
  • Proficiency in MS Office applications: Excels, Word and Powerpoint

 

Other Qualifications :

  • Proficiency in oral and written English
  • Highly organized and has an eye for detail
  • Proven ability in dealing effectively with people across all ranks
  • Team player
  • Pleasant work attitude
  • Open to extended work hours
  • Demonstrated capability to multitask in view of required deadlines
