Specialist - Procurement System
I. BASIC PURPOSE / JOB BRIEF:
The Specialist, Procurement Systems is responsible for maintenance of the data in the system used in Supply Chain Department; Serves as first level of support for all procurement managed systems; also responsible for the generation of key reports to support decision makers to have sound decision making.
II. MAJOR RESPONSIBILITIES AND DUTIES:
- Ensures all activities are accomplished based on agreed Turnaround time (e.g. Item Master and Bid Upload, Electronic Bidding Schedule, Pricing Maintenance, and Operational Report Generations, Commodity Assignment).
- Responsible for maintenance of data and its integrity in the system used by Supply Chain Division.
- Serves as the subject matter expert for the division in terms of handling Microsoft Excel, Word & PowerPoint, on its functions.
- Serves as the subject matter expert for systems used by supply chain division.
- Maintains an updated tracker to ensure all transactional and system update requests.
- Serves as key user of systems and facilitate trainings supporting Supply Chain Division and other stakeholders.
- Facilitate all IT related request of Supply Chain Division.
- Ensures that reports are produced with zero error and based on agreed timeline.
- Contributes on development of related SOPs as process owner including the implementation and execution. Develop and map existing system and other process related to procurement systems.
- Serves as Level 1 support on all system inquiries and incident reports sent by stakeholders; escalates the system issues to Officer and to the manager if necessary
- Handles minimal vendor/stakeholder communication and management.
- Perform other duties assigned to in relation to Procurement Systems Management.
III. JOB SPECIFICATIONS:
Educational Requirement:
- Graduate of any 4-5 year course.
Skills and Attributes:
- Must be computer experienced and proficient in MS Office.
- Preferably with experience using procurement systems and other related systems.
- Preferably worked at least 1 year in systems or related supply chain field.
