Coordinator - Project Management
The Project Coordinator (PC) assists the Project Manager (PM) with the coordination of resources (e.g., project stakeholders, tools, equipment, and processes), project activities (e.g., team meetings) and project-related information (e.g., project status reports). The PC helps the PM coordinate and organize projects with the goal of completion within timeline, cost, and quality.
I. BASIC PURPOSE / JOB BRIEF:
The Project Coordinator (PC) assists the Project Manager (PM) with the coordination of resources (e.g., project stakeholders, tools, equipment, and processes), project activities (e.g., team meetings) and project-related information (e.g., project status reports). The PC helps the
PM coordinate and organize projects with the goal of completion within timeline, cost, and quality.
III. MAJOR RESPONSIBILITIES AND DUTIES:
- Takes directions from the assigned PMs when it comes to planning, organizing and managing all activities required to successfully implement projects and achieve the project’s goals and Objectives
- Follows IT Division processes required to complete tasks, as necessary.
- Ensures that project activities are properly coordinated with relevant project stakeholders in a timely manner including:
o Vendor presentations and Requirements gathering
o Testing activities (Quality Assurance Test (QAT)/Systems Integration Test (SIT) and User Acceptance Test (UAT))
o Project meetings and Project steering committee reviews
o Knowledge Transfer with vendor, users and Application Support teams
- Takes directions and instructions from the PMs in coordinating and executing project decisions and other project-related initiatives. Assists the PM prioritize and initiates follow-ups on a timely basis.
- Assists the PMs prepare and sends Project Status Reports and project communication efforts in an accurate and timely manner to relevant project stakeholders.
- Prepares, updates and manages repositories of project documentation and artefacts such as minutes of the meeting, task list, etc.
- Coordinates and acquires project document sign-offs such as Change Request documents, Request for Payments (RFP), and relevant project documentation.
IV. JOB SPECIFICATIONS
Educational Requirement:
- Bachelor’s Degree in Information Technology or equivalent
- Formal Project Management training or other relevant training is an advantage
Experience Requirements:
- At least 1-3 years of relevant IT project management experience (e.g., Project Coordinator, Business Analyst, and QA).
- At least 5-10 full-scale IT projects participation (from initiation to completion) as Project Coordinator or IT Project Team Member is an advantage.
- Experience in an integrated resort or any equivalent establishment is an advantage.
Technical Skills:
- Knowledgeable of different project management tools, applications and techniques:
- MS Project, SharePoint, and equivalent
- Project scheduling, task dependency in project management
- Work breakdown schedule, critical path analysis
- Waterfall and Agile project management
- Process workflows
- Microsoft Office applications
- Knowledgeable of basic and technical IT and Project Management vocabulary
Other Qualifications:
- Self-Motivated
- Ability to multi-task
- Process and people oriented

- Detail oriented
- Excellent communication skills
- High level of professionalism and integrity
- Fluent in oral and written English
